Webex Softphone Quick Start Guide

Download Webex

  1. Go to webex.com/downloads for the desktop app or scan the QR code for the mobile app.

Login to Webex Softphone

  1. Search and open Webex app on your computer.
  2. Enter your Webex User ID (which is typically your email address) and click on Next.

  1. Enter your Password, then click on Submit.




Answering a Call

  1. To answer an incoming call:
  1. Select Answer.
  2. Or if unable to answer, select Decline and it will send the call to your Voicemail.

Hold/Resume a Call

  1. To put a caller on hold, click on the ellipsis then Hold.

  1. To take caller off hold, click the Resume button

Mute a Call

  1. To initiate Mute, click on the Mute button

  1. To turn off Mute, click on the Unmute button

Changing your Availability

  1. Click on your Presence icon in the top left-hand

corner .

  1. Select Availability.
  2. Select a predefined time from the list or select the Set a time option.
  1. Enter the time to remain in Do not disturb until.
  2. Click on Save.


  1. A popup will appear notifying you that to set your telephony to Do Not Disturb you will need to do so in Advanced Call Settings.



  1. Select the Incoming Calls arrow.


  1. Click on the toggle bar next to Do Not Disturb to turn it on    (ON). Now any calls you receive from Webex Softphone will automatically be sent to your Voicemail, if you have Voicemail set up.
  2. To close the settings, click on the X in the top right corner.

Making a Call

  1. To initiate a call, click into the Search, meet and call bar at the top of the application and enter either the name of the internal user or the external number you would like to call.
  2. You will see the results listed below.
  1. Click in the Phone icon to make a voice call.
  2. Or the Video icon to make a video call (only available with Webex Softphone users).

Consultation Transfer

  1. When connected on a call, click on the ellipsis, then select Transfer.

  1. Search for the person or type in the number in the search bar.
  2. Then either select the Green Audio call button to call them,
  3. Or for internal users select them from the list, then select Consult First, then the number to dial.

This will place the original caller on hold.

  1. When the person answers, you can announce the call, then to complete the transfer you select the Complete Transfer button.
  2. If you need to cancel the transfer, select the Red End Call button to disconnect.

  1. Then click on the Resume button  to take the original caller off hold.



Clearing Do Not Disturb

  1. To remove Do Not Disturb, click on your Presence icon in the top left-hand corner .
  2. Select Availability.
  3. Then select Clear.


  1. A popup will appear notifying you that to clear Do Not Disturb for telephony will need to do so in Advanced Call Settings.


  1. Select the Incoming Calls arrow.


  1. Click on the toggle bar next to Do Not Disturb to turn it off    (OFF).
